Import templates & forms
Rather than typing every student in by hand, start from a ready-made template — or collect availability from your students with a Google Form and import the responses. Everything on this page matches exactly what the app's importer reads, so it comes in cleanly.

Two ready-made files with the right columns already in place. Fill one in, then bring it into the app with Add → Import Students.
The columns
The header row, in order, is Name · Activity · Lesson duration (min) · Monday–Sunday · Notes — one row per student.
- Name — required. One row per student.
- Activity — the instrument or course you teach them (e.g. Piano). Optional.
- Lesson duration (min) — lesson length in minutes. Optional; defaults to your app setting.
- Monday–Sunday — when the student is free. How to type these is below.
- Notes — anything you want to remember. Optional.
How to type availability times
The day columns use a simple text format — the same one whether you fill in the spreadsheet or a Google Form:
- A time slot in 24-hour format:
HH:MM-HH:MM, for example15:00-18:00. - More than one time slot in a day — comma-separate them:
15:00-16:00, 17:00-18:00. - A preferred time slot — add a
*at the end:15:00-18:00*, and the scheduler tries it first. It's per-slot, so15:00-16:00, 17:00-18:00*stars only the second one. (It's the same star you can toggle by hand in the app.) - From a time onwards —
17:00->means from 17:00 until the end of the day. - A blank cell means the student isn't available that day.
Collect availability with a Google Form
Prefer to let students fill in their own times? Build a short Google Form, send it out, and their answers collect in a Google Sheet you then import. Set the questions up exactly as below and everything lines up with the template.
The one rule that makes it work
Google Forms turns each question title into a column header in the responses sheet, and the importer detects day columns by a header that starts with the day name. So each availability question must be titled exactly Monday, Tuesday, and so on. Put the “how to fill in your time slots” guidance once in the form's main description (the text under the title), not in each day question. The responses sheet's Timestamp column is fine; the importer ignores columns it doesn't recognise.

Questions to create
Start a new form at forms.new, then add these questions in this order, all as Short answer. They mirror the template's columns. Leave the day questions' descriptions empty — the form description above already explains how to enter time slots:

Don't add a lesson-duration question to the student form — students don't decide their own lesson length, you do. Once responses are in, you can add a Lesson duration (min) column to the responses sheet yourself and fill it in before importing, so durations arrive with the import instead of being set per student in the app afterwards.
Send it and import the answers
- In the form, click Send and share the link with your students.
- As replies come in, open the Responses tab → the green Sheets icon → Create spreadsheet. This makes a live Google Sheet of all answers.
- Import into the app either way: paste the sheet's “Anyone with the link” share URL into Add → Import Students → Google Sheets, or download the sheet as CSV/Excel and use Import Students → CSV / Excel.
- Review the preview and confirm. Re-import anytime to pull in new responses — duplicates prompt you to update, skip, or add.
There's no ready-made form to hand out — a Google Form can't be shared as a file, and it has no safe view-only copy link (link sharing grants edit access, not view-only). Building your own takes about five minutes: just follow the questions above.
Frequently asked questions
Do I need Microsoft Excel to use the template?
No. Open the .xlsx in Excel, Apple Numbers, or Google Sheets — whichever you have. For Google Sheets, drag the file into Google Drive and double-click it, or choose File → Import → Upload. A plain CSV version is there too.
Why must the Google Form question be titled exactly “Monday”?
The importer detects day columns by a header that starts with the day name. Google Forms turns each question title into a column header, so a title of exactly Monday (Tuesday, etc.) makes the responses import cleanly. Put the how-to guidance once in the form's main description, not in each day question.
What does the * after a time do?

Can I re-import when new responses come in?
Yes. Import the sheet again anytime — duplicates prompt you to update, skip, or add each student, so you only pull in what's new.
