Setting student availability
Availability is what makes the scheduling automatic. Once the app knows when each student is free, it can place everyone without conflicts. This guide covers setting days and times, multiple time slots, and preferred slots.
Set the days and times
Open a student and go to their availability. For each day of the week, toggle it on and set a start and end time — the time slot when that student can have a lesson. Leave a day off if they're never available then.
The scheduler only places a student's lesson inside one of their availability time slots, so the more accurate this is, the better your timetable.
Add more than one time slot a day
A student who's free before school and after can have two time slots on the same day. Tap Add time slot to add another time slot to a day — the scheduler treats them all as valid options.
Mark preferred times with a star
Tap the star (★) on any time slot to mark it as preferred. The scheduler tries preferred time slots first, so a student's favourite times are used when possible. This is handy when someone can do several slots but would rather have one.
You can also set preferred time slots when importing from a spreadsheet: add a * to a time slot (e.g. 15:00-18:00*) and it comes in already starred. See Importing and exporting.
A note on times
If you set an end time earlier than the start, the app nudges it to a sensible time slot automatically, so you can't accidentally create an impossible slot. Times display in your 12-hour or 24-hour preference (set in Settings).
Good to know
- If a student's availability doesn't overlap your hours, they show up in an "unscheduled" banner with the reason after you generate — adjust their time slots or your working hours and they'll slot in.
- Each day is set independently, so a student can have different availability on different days, with one or more time slots each.
- Starred (★) time slots are tried first; turn on "Prioritise preferred days" in the schedule and preferred times win even over lesson balancing.
- You only need availability for the students you want scheduled. You can add everyone first and fill it in later — a filter shows who's still missing it.
